ABOUT THE ROLE

To lead and manage bid teams to realise compelling submissions in response to tenders (ITT's / PQQ's / RFP's / RFQ's) that provide the best technical solution and commercial offer whilst minimising the risks to the business should a contract be awarded.


Explore Your Tasks And Responsibilities

  • Overall responsibility for the management of tenders from tender receipt to tender submission
  • Ensure that all opportunities are formally assessed against the company’s current objectives and prevailing risk procedures.
  • Review and analyse each opportunity in order to identify, develop and agree, with the project team an appropriate win strategy
  • Ensure that the bid team is properly briefed and managed, and that team members are aware of individual responsibilities, deliverables and key milestone dates
  • Actively lead and work with:
    • the bid team to ensure that the submission properly addresses the tender requirements, whilst optimising our competitive advantage and profitability
    • the Proposals Coordinator to compile a schedule of clarifications/opportunities and agree the overall content and presentation for the final submission
  • For the submission itself:
    • write sections of the response as necessary
    • Proof read other sections to ensure consistency and flow of the finished document and correct any errors.
    • lead, organise and attend any tender presentations and/or interviews with the client, ensuring that all Exyte attendees (including external consultants and/or subcontractors) are fully briefed and available
  • During the tender period:
    • appoint, or act as, a single point of contact with the client, as required, and distribute new information, RFIs and responses to the bid team
    • lead, or delegate appropriately, response to client requests, collating any follow-ups and ensuring that a robust audit trail is available for such information
    • chair bid team progress meetings, as required, and generally manage progress versus key milestones
    • chair any meetings required with external consultants / subcontractors, ensuring that notes and minutes are distributed to the bid team
    • chair bid adjudication meetings with the senior management team
  • Organise and chair Project start-up /handover meeting to formally pass responsibility to the Project team.
  • For unsuccessful bids, ensure that Exyte requests and receives feedback via post tender interview/debrief

Essential

Show your expertise

  • Experience in at least three of the following:
    • Engineering experience within the construction sector ideally within technically demanding facilities such as Pharma and Life Sciences or High Technology infrastructure industry
    • Experience of business development, design or operations
    • Understanding and experience of bidding processes and procedures
    • Knowledge of private and public sector procurement strategies and routes to market
  • Demonstrable and successful experience of key project management skills:
  • Managing and driving outputs from immediate colleagues, cross-department colleagues, external consultants or subcontractors and other stakeholders
  • Time management – meeting key milestones and deliverables
  • Managing and reporting on risk
  • Working with and negotiating contract terms and conditions
  • Practised and confident in working under their own initiative and making decisions – willing to take responsibility for own actions within authorised limits
  • Practised and confident in the analysis and/or production of specifications in order to assist with the selection of suitable systems/materials plus accompanying workmanship standards
  • Practised, knowledgeable and confident (written and oral) communicator and presenter – with colleagues, clients, consultants and subcontractors alike
  • Practised and confident user of main MS Office software (Word, Excel, Outlook and Powerpoint)

Highly Desirable (but Not Essential)

  • Knowledge and/or use of other MS software - Access and Project
  • Knowledge and/or use of AutoCAD software
  • Knowledge and experience of common forms of contract, such as NEC, IChemE, FIDIC, JCT and GC Works
  • Knowledge and/or preparation of design fee, Design and Build proposals
  • Experience of using CRM system such as Salesforce
