GENERAL DESCRIPTION:

As the Operations Administrator, you are a valuable member of the Client services and Operations team with a ‘Can Do Attitude’ providing support to the Company, the Compliance Manager, the Data Centre Managers and Country Manager. You will be responsible for keeping detailed and accurate records of policies/procedures, ensure that the Operational purchasing activities are kept accurate prior to going to finance along with client quotations. The role will also take responsibility for the general administration, meeting minute taking and management of the operations office and ensure constant continuity in the operation of such.


RESPONSIBILITIES:

  • Administration and updating of all the Compliance and Operational polices in conjunction with the document owners.

  • Create all PREQs for the Operations team

  • Create and manage all customer quotations

  • Liaise between Operations and Finance on all audit and procurement matters

  • Prepare Quotations for customers

  • Manage relationship with outsourced FM provider and monitor accuracy of quotations

  • Work with the Clients Services team to ensure accurate and timely client reporting

  • Work with the Clients Services team to support users on the Global Visitor Management System

  • Liaise with all departments ensuring supplier and customer contracts are recorded and up to date

  • Manage supplier contracts

  • Manage Compliance and Ops office, keeping track of inventory and ordering supplies

  • Meet and greet visitors and clients

  • Provide support and assistance to the Compliance Manager, Data Centre Managers and the Country Manager

  • Take minutes of meetings were requested and circulate as required

  • Work with the Ops team in managing the CAFM system and monthly reports

  • Providing administrative support to other departments or projects as needed

  • Performing other duties as assigned

WORK EXPERIENCE/QUALIFICATIONS - REQUIREMENTS


  • Minimum 2-yrs experience in similar role

  • Ability to communicate effectively

  • Excellent numerical skills

  • Good verbal and written English

  • Excellent knowledge of MS Word, Excel and other computer skills

  • Excellent telephone / front desk manner

  • Strong organizational and administrative skills

  • Ability to multitask

  • Car and Full Drivers license preferred but not mandatory

PREFERRED KNOWLEDGE / EXPERIENCE

Must be able to demonstrate a proven capability to deliver solutions with a superior level of service to clients in a high-pressure environment.


Excellent communica tion and interpersonal skills together with strong analytical capability, problem solving and troubleshooting skills with sound judgment and a commitment to customer service and efficiency are essential.
